Awarding organisation fee rules and assumptions

  • Centres will register learners on the most appropriate learning aim (qualification or combination of units)
  • Registration fees are non-refundable
  • If a learner defers and returns to learning within a year, the centre will not be invoiced again, provided the learner is still aiming to complete the original learning aim (qualification or combination of units) that they are registered against

Invoicing policy

The CIH awarding organisation charges fees to cover the cost of its activities. This information below sets out when fees will be charged and the processes followed by the awarding organisation in relation to the issue, content, payment and retention of invoices.

Invoice information

Invoices will be issued within 10 working days on:

  • Receipt of an application for centre approval
  • Confirmation of CIH awarding organisation approval to deliver additional qualification(s)
  • Receipt of learner registration forms (where applicable – registration for CIH qualifications is available for centres through an online CIH portal)

The invoice will include:

  • CIH logo/name and address
  • the name and address of the centre
  • the individual account number of the centre
  • the invoice number
  • purchase order number (if required)
  • a description of the activity for which the invoice is raised
  • the unit price for that activity (if applicable)
  • the total fee to be paid
  • VAT payable
  • VAT rate
  • CIH BACS information
  • CIH contact address and email for queries
  • Payment terms/timelines
Payment of invoices

CIH current payment terms are 7 days from date of invoice.

If the debt becomes over 30 days old a demand letter will be sent, together with the statement. Statements and letters will be sent out until the debt is paid.

Where the debt is not paid, the CIH credit controller will chase up the debt with a phone call and CIH reserve the right to collect any outstanding debts by legal proceedings.

If the debt remains unpaid the following sanctions may also be applied by the CIH awarding organisation:

  • Centre approval application – approval suspended
  • Additional qualification – refusal to register learners on the course
  • Learner registration fee – if the payment is defaulted learner certification will be withheld pending payment of the fee
Retention of invoices

For audit purposes, invoices are retained for a period of 7 years.
